Job Summary

Equinix Global Events is seeking a skilled and proactive Sr. Specialist, Event Logistics, to join our award-winning team. This role will manage a variety of external trade shows and customer events, as well as internal off-sites, including logistics management, budgeting, vendor coordination, and on-site execution, while collaborating closely with internal stakeholders, marketing, and external partners.

Responsibilities

Event Management & Execution

Planning and execution of assigned tradeshows, conferences, meetings, and off-site events, managing all logistics from start to finish

Develop and manage event budgets, timelines, and deliverables, including tracking spend, creating purchase orders, processing invoices, and post-event reconciliation

Review and manage contracts, coordinate signature workflows, and ensure all terms align with event requirements

Plan and manage all event logistics, including food and beverage, registration, audiovisual, room setup, and vendor oversight

Identify and secure off-site venues aligned with event objectives, managing all related logistics and planning

Serve as the primary point of contact for vendors, venues, and internal stakeholders, handling all communications and coordination, from contract negotiation through on-site execution

Develop the logistics event run of show and manage guest registration and on-site experience

Guide the development of themes, agendas, and program design that cater to the event and audience needs

Participate in or lead planning calls, drive meeting follow-ups, and ensure cross-functional alignment for shared event initiatives

Post-event Analysis

Partner with stakeholders to evaluate event performance and recommend strategic improvements for future participation

Negotiate contracts and secure preference for future events as needed

Lead final budget reconciliation and ensure all documentation is captured

Build trust with stakeholders through proactive communication and accountability

Adapt plans to navigate changing priorities or challenges

Additional Qualifications/Responsibilities

Qualifications

Bachelor's degree or equivalent experience

4+ years of experience in corporate events, tradeshow management, or experiential marketing

Demonstrated success in independently managing events of varying size and complexity

Strong project management, budgeting, and organizational skills

Excellent written and verbal communication skills

Ability to manage multiple priorities with professionalism and adaptability

Experience with event platforms (e.g., Cvent, Jifflenow, Teams, Sharepoint), Airtable, Smartsheet, Salesforce, or related tools is a plus

Willingness and ability to travel up to 50%

The targeted pay range for this position in the following location is / locations are:

United States - Redwood City Office GHQ : 96,000 - 144,000 USD / Annual

United States - Dallas Infomart Office DAI : 80,000 - 120,000 USD / Annual

Our pay ranges reflect the minimum and maximum target for new hire pay for the full-time position determined by role, level, and location.The pay range shown is based on our compensation structure in place at the time of posting and may be updated periodically based on business needs. Individual pay is based on additional factors including job-related skills, experience, and relevant education and/or training.
